Privacy Policy

In developing its educational activity, the school has established a Privacy Policy (hereinafter, “the policy”) regarding the handling of personal information by complying with pertinent laws and regulations in order to maintain credibility with all parties concerned.

1. Compliance with pertinent laws and regulations and making sure the policy is widely known

The school endeavors to properly handle and protect personal information by complying with the “Personal Information Protection Law,” the “Nagano Prefecture Personal Information Protection Ordinance” and other related laws and regulations. The school also seeks to make this policy widely known by posting it on the school’s website as well as by other means.

2. Scope of personal information

Personal Information is defined as personally identifiable information regarding individuals, including data such as names, dates of birth and other related descriptions contained in particular information.

On this website, our overall policy is limited to personal information regarding those individuals who are involved with the school. These individuals are identified as:

(1) Students enrolled in the school, etc. (including applicants for admission)
(2) Guardians of the school population, etc. (including students’ family members)
(3) Graduates of the school, etc. (including those who left the school prematurely)
(4) Those concerned with the school’s overall educational activities (school councilors; supporters from businesses and the local community; members of associations in support of group activities; visitors to the school; transmitters of telephone calls and e-mails to the school)
(5) The school’s teachers and staff personnel (including their family members)

3. Collection and use of personal information

The school is well aware of the principle that personal information should be collected only with the consent of those individuals concerned. Accordingly, the school collects information within a required range after clearly articulating the purpose of use and utilizes such information only in accordance with the stated purpose. The following are the primary purposes, for which personal information regarding individuals concerned with the school is collected as outlined in the above item 2 (Scope of personal information):

(3) Graduates of the school, etc. School register-related certificates, such as diplomas, transcripts and school reports
(4) Those concerned with the school’s education Organizing the school council and other meetings; Other forms of collaboration and support for the promotion of the school’s overall educational activities
(5) The school’s teachers and staff personnel Matters related to human resources activities, welfare, social insurance and school management

4. Provision and commissioning use of personal information

(1) Regarding personal information acquired, we do not offer it to any third party except in the following cases:
(a) When a student transfers to/from another school, or when required by laws and regulations such as responding to law enforcement inquiries.
(b) When it may be necessary for the protection of one’s life, body or assets but difficult to obtain his/her consent due to unavoidable reasons such as urgent hospitalization.
(c) When there is the possibility of one becoming a victim of criminal circumstances or when it is especially necessary to secure a student’s safety and prevent his/her delinquency or crime but difficult to obtain his/her consent.
(2) In the event of commissioning the handling of personal information to a third party organization for positive use, we collect such information only after clearly identifying the name of the organization and fully ensuring that the designated organization handles the information safely and properly.

5. Request for disclosure, correction, etc.

With regard to personal information that is assumed not to be in compliance with the policy, we will properly respond to any request made, based on legitimate reasons and procedures, by the person himself/herself for disclosure, addition, correction, deletion or suspension of use of the information on record.

6. Improvement of the policy

With regard to the handling of personal information, we will endeavor to respond aptly to changes in laws and regulations as well as in social conditions, and improve the policy as necessary by making changes, corrections and additions.
